External Connector Refiners Support ( CDN 7.0. 0319+)

This enhancement introduces support for refiners (filters) in Graph Search Tabbed Widget for External Items, One Drive and Custom tab.

a)       External Connector Tab – Refiner Section

The Refiners section in the Edit Connector modal allows administrators to configure filterable fields for External Connector search results.

Administrators can:

  • Add one or more refiners
  • Define the display label shown to users
  • Reorder refiners
  • Remove refiners

Each configured refiner consists of:

Property

Description

Name

External Connector schema property

Display Token

User-facing label displayed in the filter panel

In the example shown above:

  • Three refiners have been configured:
    • SysUpdatedBy
    • SysUpdatedOn
    • SysCreatedBy
  • The Name column represents the schema property from the Microsoft Search External Connector.
  • The Display Token column specifies the label displayed to users in the search experience. Display tokens may be either plain text or localization tokens.
  • Administrators can add new refiners using the Add Refiner action.
  • Existing refiners can be reordered using the drag handle or removed using the delete icon.
  • Changes are persisted when the connector configuration is saved.

Only schema properties that support Refine capability in the Microsoft Search Connector schema should be configured as refiners.

Example

For a ServiceNow connector:

Refiner

Purpose

SysUpdatedBy

Filter results by the user who last modified the article

SysUpdatedOn

Filter results by last modified date

SysCreatedBy

Filter results by article creator

After saving the connector configuration, these refiners become available to the Graph Search Tabbed Widget and can be displayed in the External Connector search experience

To summarize:

External Connector Search Experience

When refiners are configured:

  1. User performs a search in the External Connector tab.
  2. Available filter values are generated from the connector's searchable content.
  3. Refiners are displayed in the filter panel.
  4. Selecting a filter updates the External Connector results.
  5. Multiple refiners can be applied simultaneously.

Example:

Search: knowledge

Available filters:

  • Modified By
  • Created By

Users can narrow ServiceNow knowledge articles using these filter values without modifying the search query.

a)       One Drive Refiners:

Overview:

This enhancement enables refiner support for the OneDrive search tab in the Graph Search Tabbed Widget.

Following OOB refiners are available:

  • Tags
  • Created By
  • Modified By
  • File Type
  • Sites

One Drive Search User Experience

When a user performs a search in the OneDrive tab:

  1. Available refiners are displayed in the Filters section.
  2. Users select one or more filter values.
  3. Results are refreshed based on the selected criteria.
  4. Multiple filters can be combined to narrow the result set.

c)       Custom Tab Refiners

Custom tabs (for example, News, Assets, or any custom search vertical) support refiners only when the tab's configured query payload includes aggregations.

Configuration Requirement

Refiners are dynamically generated from the aggregation definitions present in the custom tab payload. If no aggregations are defined, no refiners will be displayed even if the UI has refiner controls enabled.

In the screenshot, the News tab payload contains aggregation definitions such as:

  • SPCreatedBy
  • SPModifiedBy
  • Other SharePoint metadata fields

These aggregations are returned by Microsoft Search and are converted into refiners displayed in the search results page

User Experience

When a user performs a search in the News tab:

  1. The custom tab executes its configured payload.
  2. Microsoft Search returns aggregation data for the configured fields.
  3. The Graph Search Tabbed Widget generates refiners from the aggregation response.
  4. Refiners are displayed above the search results.
  5. Selecting a refiner filters only the results within that custom tab.

Example:

  • Created By
  • Modified By
  • Tags

can be displayed as refiners when corresponding aggregations exist in the payload.
